How Po-Ko Now handles proof reports and account data.
What Po-Ko Now stores
When you create an account, Po-Ko Now stores an account identifier, your email address, and a name when it is supplied by you or your sign-in provider. If you upload a report, Po-Ko Now also stores optional profile details, report text, photos, capture metadata, PDF proof files, and verification links. Purchase and entitlement information is stored to provide and restore Pro access.
Apple, Google, and email sign-in
Sign-in is optional. You can sign in with Apple, Google, or a one-time email code. Apple or Google may provide Po-Ko Now with a stable account identifier, email address, and name according to the choices and privacy settings in your provider account. Firebase Authentication verifies Apple and Google sign-in. Po-Ko Now uses this information only for account authentication, cloud sync, support, and linking your verified store entitlement; it is not used for advertising or cross-app tracking.
Why data is used
Data is used to create proof reports, show verification pages, generate PDFs, support AI note and voice features, sync drafts, manage subscriptions, and provide account support.
Age-based privacy
Po-Ko Now asks users to choose an age group and never asks for or collects an exact date of birth. Only the selected age group is kept in protected local settings. Users under 18 can use Private Local Mode, where camera reports and drafts remain on the device and account sign-in, cloud upload, AI processing, public sharing, and purchases are disabled.
Optional AI features and OpenAI
AI features are optional, available only to signed-in adults, and use OpenAI, L.L.C. as the third-party AI provider. Before any AI transmission, the app identifies OpenAI, lists the data that will be sent, and asks for explicit permission. If permission is declined or revoked, nothing is sent to OpenAI and reports can still be created locally without AI.
Data sent for AI processing
For voice transcription, Po-Ko Now sends the voice-note audio and selected report language to OpenAI through the authenticated Po-Ko backend. To improve or translate a typed note or transcript, the backend sends that text, the report title, category, proof status, selected report language, and any optional displayed place or address text. GPS coordinates are removed before the AI request. User-supplied text or audio may itself contain personal information the user chooses to include, such as a name or address. This content is collected only when the user records a voice note or enters text and then chooses the relevant AI feature.
Data not sent to OpenAI
Po-Ko Now does not send the user's email address, account identifier, authentication credentials, subscription or payment information, device identifiers, proof photos, photo metadata, or GPS coordinates to OpenAI. The OpenAI API key remains only on the Po-Ko backend.
AI data use and protection
Po-Ko Now and OpenAI use AI content only to provide the requested transcription, note improvement, or translation and not for advertising or unrelated analytics. Po-Ko Now does not opt in to share API content for model training. OpenAI states that API data is not used to train or improve its models unless the API customer explicitly opts in. OpenAI's API data controls provide contractual and technical safeguards for customer content; audio-transcription requests have no application-state retention, while text requests may be retained in abuse-monitoring logs for up to 30 days unless stricter approved retention controls apply. Po-Ko requires third-party providers handling personal data to provide the same or equivalent protection required by this policy and applicable law.
Your choices
Adult users can use local reports and mobile-store purchase flows without creating a Po-Ko account. You can sign out, delete local reports, or delete your Po-Ko Now account from Profile. Account deletion removes the account, linked identity information, and server reports connected to your account. You can also manage or revoke Apple or Google access through the settings of the relevant provider.
